Board of Directors – Definitions

The Board of Directors consists of the President, Vice President, Secretary, Treasurer, immediate past President, and two members elected from the membership at large. The Board’s responsibility is to pass on all of the business activities and issues surrounding the day to day running and management of the chapters by interpreting the by-laws. The following is a description of each Board Member position.

President

The President’s responsibility is to run the meeting as outlined in the program Flip Chart; to introduce the Vice President who then introduces the other officers and chair persons; and is responsible to see that the Board’s wishes are carried out and that the meeting runs smoothly for the success for all present.

Vice President

The Vice President takes attendance. If a member misses a meeting it is important that he/she lets the Vice President know the reason. If two meetings are missed consecutively, that category will be considered open. Also, if three meetings are missed in a calendar quarter, that membership will be reviewed by the Board. For a member to give or get referrals, attendance at meetings is critical. The Vice President also introduces the rest of the officers.

Secretary

The Secretary explains the process of joining Networks and answers any questions that guests and others may have regarding the process, rules, regulations, and costs of membership. A completed application, paid membership fee, and acceptance by the members closes that particular professional category in the chapter to others in the same classification. It is the Secretary’s responsibility to continue to promote and encourage members to bring guests and seek out others who would be likely candidates to expand their networking organization. This position is very important to the continued growth of both the chapter and the individual member’s business network referral system, that it is recommended that the Secretary be assigned at least one assistant, who then follows in the progression of officers each year.

Treasurer

The Treasurer is responsible for paying the bills of the chapter and prepares statements to be distributed to the members for their breakfast or lunch fees. He/she is also responsible for preparing all required forms, opening a checking account, balancing said account, and regularly reporting the status of cash received and/or disbursed, and the balance available in the checking account.

Sergeant At Arms

the Sergeant at Arms controls the time segments of the meetings and monitors the contributions each week as the contribution bucket is passed. The purpose of these contributions is to assess a small amount of money to be used within the chapter for activities and meals for guests.

Program Chair

The Program Chair assigns the weekly greeter, motivator, and speaker. Since we have few outside speakers, these people are selected from the membership. The greeter‘s responsibility is to arrive fifteen minutes before the scheduled time for the meeting to start, and make sure that guests are welcomed and registered and have an opportunity to meet all of the existing members. The motivator speaks on a subject of interest to him or her. The presentation is based on books, articles, recordings and/or quotes from others who have had a significant bearing on the individual’s success. If something specific does not come to mind, the Network consultant can provide a variety of success articles for this individual to speak about. The purpose is to give the individual experience in giving a presentation in front of a large group on a topic that is not related to the speaker’s buisiness. The speaker, on the other hand, is encouraged to prepare a discussion and infomercial on their specific product or service.

Referral Chair

The Referral Chair records the referrals given and received by each member. They compile a report card that gives an accounting of the referrals and the prospective members that have been brought to the meeting.
